More quotes.
Less manual work.
The same pricing expertise.

How Semantia helped Prixcar scale a quoting process that had outgrown the call centre, without replacing the spreadsheet at the heart of its pricing.

A practical, 1-on-1 implementation session for business owners and managers who want AI grounded in real workflows, real data and real operational outcomes.

Reported historical outcomes. A quote request could require up to four calculations. Booking revenue is not a claim of incremental revenue caused solely by automation.
01 / The Constraint

Demand grew. The manual process couldn’t keep up.

Prixcar’s call-centre staff prepared transport quotes using rate spreadsheets. One enquiry could require four calculations: door-to-door, depot-to-depot and the two combinations of door and depot transport.

Staff took the call, performed the calculations, then copied the results into an email. The same team handled post-sales enquiries. Across the call centre, average output was approximately 16 complete quotes per day.

Following a separate website project delivered by Semantia, enquiries increased approximately tenfold within a month. Demand was welcome. The pressure on the call centre was not sustainable.

The constraint was the manual work around the pricing model.

02 / A Different Approach

Preserve the spreadsheet.
Automate the work around it.

Prixcar’s pricing spreadsheet had been in use since 2004. It was central to the company’s pricing strategy and the commercial managers’ work.

Earlier attempts by its parent company had tried to reverse-engineer that logic into a relational database. The complexity of the spreadsheet prevented those efforts from producing a workable solution.

Semantia took a different route. We retained the spreadsheet, preserved its established pricing logic and minimised the change required of the commercial managers.

03 / The Implementation

Familiar controls.
Automated quote delivery.

Semantia architected the original quoting solution and, with external assistance, delivered an initial MVP in 90 days.

01

Customer Details

Vehicle and transport requirements entered directly on the website.

02

Excel Calculation

Calc123 supplies the inputs, runs the spreadsheet and returns pricing.

03

Quote delivery

Pricing presented online and the quote email sent automatically.

Customers no longer needed to call during business hours and wait for a manually prepared quote. Automated pricing was presented in approximately 800 milliseconds, around the clock.

Commercial managers stayed in control.

Managers updated prices in their existing spreadsheet tools and uploaded revised spreadsheets to Calc123.
Every quote received a unique identifier, allowing tracking from initial enquiry through to vehicle delivery. A real-time dashboard supported reporting on profitable lanes and channels, including website, call-centre, partner and broker enquiries.
04 / The Results

Quoting capacity no longer depended on call-centre availability.

At peak, the website handled around 20,000 quote requests per month, generating approximately 80,000 individual pricing calculations. Prixcar initially absorbed the increased quoting demand without adding staff.

Additional employees were hired over time to support bookings and customer enquiries, rather than to reproduce the manual quoting process.

Measure Reported Outcome
Quote Availability
24 hours a day, seven days a week.
Website Volume
Around 20,000 quote requests per month at peak.
Pricing Volume
Approximately 80,000 individual calculations per month at peak.
Completed Booking Revenue
More than $25 million annually from bookings originating through Calc123 after three years.
The revenue figure describes completed bookings originating through Calc123. It does not mean automation alone created $25 million in additional sales.

Monthly figures are approximate peak volumes. The previous average of 16 complete quotes per day covered the whole call centre, which also handled post-sales enquiries. Daily call-centre output and monthly website activity are not a like-for-like productivity comparison. A single quote request could require up to four individual pricing calculations.

05 / Long-Term Responsibility

Taking responsibility beyond the initial delivery.

When the supplier abruptly terminated hosting, Semantia was prepared. Having anticipated the risk, we deployed a new system within a day, restoring Prixcar’s quoting service.

Prixcar incorporated similar functionality into a broader ERP transformation, and Calc123 was subsequently decommissioned at the end of 2019.

The lesson: scaling a process does not always require replacing the tool at its centre. Semantia identified the pricing expertise to retain and the repetitive work to remove.
